Getting started with foxondo

Are you new to foxondo or would you like to get an overview?
This manual explains the most important areas of the software and shows you how to answer questions and build your documentation.

How is foxondo organized?

Dashboard

The dashboard helps you quickly find your way around: it shows where you last left off, highlights any actions that need to be taken, informs you about anything new and gives you a clear overview of the current status of your documentation, so you can get straight back to work.

Documentation

In the documentation, you can create your data protection documentation, one process at a time.
foxondo guides you through all relevant topics in a clear question-and-answer structure and helps ensure that nothing important is forgotten.
Help texts and, if necessary, pre-filled content ( EasyStart package purchased seperately ) take as much work off your table as possible.

Structure of the documentation

In the "Documentation" area, the screen is divided into four areas:

  1. Module navigation (first column on the left)
  2. Overview of questions (table of contents, second column)
  3. Editing area (main area, third column)
  4. Filter (top row)

In detail:

Module navigation

The modules are listed in the left-hand column (subject areas). If you click on a module name, the corresponding content is displayed in the question overview and in the editing area.
There are sub-modules. These are only visible once they have been "switched on". This is done within other modules by selecting questions (within the editing area): There you can select topics the organisation need to document, and in this way create a new module branch in the navigation.

Overview of questions

In the centre column you will find a table of contents for the currently selected module. This should give you a quick overview of the contents of the module and help you to navigate through the module (especially if there are a lot of questions).

Editing area

The actual documentation is located in the right-hand column. This area is divided into:

  1. Module heading
  2. Question catalogue with different question types and dependencies

You can quickly recognise which module you are currently in from the module heading.

Various functions for this module are available below the heading:

Clicking on these functions opens a window in which the individual function is explained in more detail. Just give it a try.

Processing of the questions

All questions and answers are displayed under the module heading - in each case for the module that you have selected in the navigation on the far left.
Here you can answer the questions by entering text, selecting answer options, uploading files or adding links (for some functions you need to expand the question using the small arrow at the bottom).
Some answer options are marked with a "[+]" at the end: If you select an option like this, one or more follow-up questions or even new modules will appear. Important: This changes the total number of questions.

Questions also have other useful functions:

  • Help: A small question mark after the question title indicates that a help text is hidden there to help you answer the question.
  • Comments: You can leave a comment with each question. This gives you the opportunity to inform your team about the current processing status or to ask questions. To send other foxondo users an e-mail with this comment, enter an @ followed by the e-mail address and your comment. Why don't you try it out with your own e-mail address?
  • History / All activities: Every change to an answer is automatically saved in the history of the question (this is for revision security). The information on when and who last edited a question is also displayed in the header of the respective question.
  • Tags: Questions are categorised using tags. This gives them additional properties that are particularly helpful for filtering. Example: If you are looking for all questions that contain software information, you can select the tag "Software" in the tag filter.
  • Status: At the start, all questions have the status "Not changed yet (grey)". When you enter an answer, this automatically changes to the status "Changed (blue)". You can also assign a different status to the question via a drop-down menu:
    • In progress (yellow)
    • Needs support (purple)
    • Action required (red)
    • Ok (green) - Note: You need certain user rights to be able to set this status.

Filter

Below the menu you will find the filter bar. If you set one or more criteria, you will only see the questions that correspond to the selected filter in the main area.
Have you noticed the number behind the filters? It shows how many questions there are in total for this filter in the documentation. When you select a filter, numbers also appear behind the modules. These indicate how many of these questions there are for the selected filter in the module.

Report Area

In the report area, you can create your own reports directly in foxondo – for example, meeting notes, protocols or the annual data protection report.
This allows you to record important information in a structured manner and have your reports clearly organised in one place at all times. You can use a report for yourself or share it with others.

Administration

In the administration, you can manage the basic settings for your organisation.
You will only see the "Administration" area if you have the appropriate user rights. As the administrator of your organisation, you have the option of creating additional companies, groups and managing users.
If you are a foxondo partner, you will also see "Partner administration" in the menu bar. There you have the option to manage several organisations (multi-client capability).

Note: In order for you to have editing rights in a company, you must also add yourself as a user.

My Account

You can make settings for your own profile under "My account":

  • Change e-mail address and password
  • Language setting (only applies to the menus and emails you receive from the system, not to the company's documentation)
  • Manage e-mail notifications
  • View and manage your rights and roles
  • View your MrFOX points
